The Opportunity

The client is a multi-state healthcare facility network with 50+ locations. Staff wanted to use AI for documentation and phone workflows, but the organization had no HIPAA-aligned way to say yes. There was no guidance on what responsible use looked like, no shared baseline of skill, and no consistency across locations: some teams had early adopters while others had no AI usage at all.

Leadership wanted 500 employees equipped to use AI inside HIPAA boundaries across every role that touches the work: clinicians documenting visits, medical assistants managing intake, call-center staff handling patient communication, and administrators running scheduling and reporting. Each role does different work and faces different risks, so generic AI training would land on none of them. Whatever was taught had to travel across 50+ locations, producing a shared standard every team could apply the same way, plus the means to keep building capability after the trainers left. The engagement had to fit all of that into three days.

Key Challenges

Untrained workforce

Clinicians and staff had minimal AI familiarity, so documentation and patient communication stayed manual.

No safe boundary

Without HIPAA-aligned guidance, staff could not tell responsible use from a prompt holding a patient's chart.

Uneven adoption

Comfort and access varied location to location, so 50+ healthcare facilities operated without a shared standard.

No path to build

Teams had recurring workflows worth automating and no way to create their own agents.

The Process

01
Discovery Session

Mapped the clinical and administrative workflows where AI could safely take on real work across the network: visit documentation, patient communication, intake, scheduling, and reporting.

02
Training Preparation

Built HIPAA-aligned modules and role-specific exercises for clinicians, MAs, call-center, and admin staff. Every module opened with what responsible use looks like in a clinical setting.

03
Training Delivery

Ran hands-on workshops where each role practiced on its own documentation and communication tasks. Clinicians, MAs, call-center staff, and administrators trained separately, each on their own work.

04
Resources & Enablement

Left behind reusable templates, role-specific workflow guides, and agent-building frameworks so every location could apply the same standard without depending on the people who happened to attend.

Our Solution

Role-specific, HIPAA-aligned training that meets each role inside the work it already does. A clear boundary between safe and unsafe use, so staff act with confidence. Clinicians, MAs, call-center, and admin staff each trained on their own real tasks. Teams learned to build simple agents for recurring workflows, so capability keeps growing after the engagement ends.

Key Capabilities

HIPAA-Aligned Usage Framework
A clear boundary between safe and unsafe use, so staff act with confidence rather than treating avoidance as the only safe choice.
Role-Specific Practice
Clinicians, MAs, call-center, and admin staff each trained on their own real tasks, because a physician practicing documentation and a scheduler practicing patient correspondence are learning different skills.
Build-Your-Own Agents
Teams learned to build simple agents for recurring workflows, so the network can extend its own capability without calling anyone back.

Impact

After three days, 500 employees had the skills and HIPAA-aligned boundaries to use AI confidently in their own work. Staff who had been abstaining, or quietly experimenting without guardrails, left with a clear boundary and hands-on practice inside their own workflows. All 50+ locations now work from one playbook, giving compliance a consistent standard across the organization. Teams also learned to build lightweight agents for recurring workflows, so the capability keeps compounding after the engagement ends.

Key Results

  • 500 employees trained across 50+ healthcare locations
  • 100% of roles trained on their own real workflows
  • 3 days to establish a shared, compliant standard across every role
  • Staff who had been abstaining or quietly experimenting without guardrails left with a clear HIPAA-aligned boundary and hands-on practice inside their own work
  • All 50+ locations now work from one playbook, giving compliance a consistent standard across the organization
